Fairlop Outdoor Activity Centre Conditions of Hire • Vision RCL

General

  1. The person(s) signing ‘the hiring agreement’ shall be deemed to be and hereinafter known as the “hirer”. The hirer must be aged 18 years or over. 
  1. The hirer agrees to be responsible for the enforcement of these regulations and payment of all charges to Vision RC & L 
  1. Booking times are inclusive of all “set up” and “set down” of equipment.

The authorised representatives of Vision RC & L shall be entitled to enter at any time, any part of the premises hired, and should he consider any event taking place to be objectionable, unsafe or contrary to these or any other regulations in force at the time of hiring, will have the power to stop, or place restrictions upon the event taking place. 
  1. The hirer shall be solely responsible for keeping and maintaining proper order and providing efficient supervision of the premises (including an egress of all persons attending the event) to the satisfaction of an authorised representative of Vision RC & L.  The hirer also agrees that Vision RC & L may, if it deems necessary, engage additional stewards during the period of hire to ensure good order of the safety of persons attending the event. 
  1. Notwithstanding any contractual arrangement with the hirer, Vision RC & L reserves the right at it absolute discretion to refuse or direct the hirer to refuse, the admission, or evict any person from the establishment without stating any reason therefore and shall not be liable to pay compensation to the hirer arising from such exclusion. 
  1. Vision RC & L and London Borough of Redbridge reserves the right to add to, vary or alter these conditions at any time and shall be entitled to give such additional directions with regard to the conduct of the hiring and the use of the premises and equipment as he shall consider necessary.

Bookings and Cancellations

  1. Individuals or organisations may make special bookings for one-off events.  Applications should be made via a booking application form, which is available from the administration office.  Special bookings must be paid for in FULL in advance of the booking date to confirm the booking or a cancellation may occur. 
  1. The cancellation of any booking by the hirer must be given in writing with a minimum of 14 days notice.  The full booking cost will be made unless the facilities can be re-let, at the discretion of the Management. 
  1. The hirer agrees that Vision RC & L or London Borough of Redbridge has the right to cancel any hiring giving as long as possible.  Hiring fees will be returned in full but no other compensation will be paid by either Vision RC & L or the London Borough of Redbridge.

Programme

  1. Any changes of layout of furniture etc. taking place during the period of hire may be undertaken by the hirer to the satisfaction of an authorised representative of Vision RC & L.  Additional hire charges may be applied if this work is to be undertaken by Vision RC & L. 
  1. The hirer shall only arrange with Vision RC & L or its caterers for the provision of all food and drink.  Alternative arrangements can be made at the discretion of the management. 
  1. Any advertisements or posters etc. must be submitted to Vision RC & L 14 days prior to the commencement of the hiring for approval.  Any placement of advertising material at the hired premises must be with the agreement of Vision RC & L. 
  1. No sweepstakes, raffle or other form of lottery shall be promoted, conducted or held on the hired premises unless the hirer is in possession of the relevant licence or permit. 
  1. The photographic rights for the hired premises shall be reserved by Vision RC & L unless otherwise agreed. 
  1. The filming or broadcasting from the hired premises is permitted subject to approval by Vision RC & L at least 14 days in advance of the hired time  

  1. The hirer agrees to provide to the hired venue at the time of booking an anticipated programme of events to take place during the hired period.  This includes listings of the subject matter to be discussed, names of speakers and anticipated attendances. 
  1. The hirer shall not sub-let the hired premises or charge for admission without the express written permission of Vision RC & L. 

Health & Safety

  1. Equipment Hire is separate to any booking conditions.  Customers hiring facilities must provide their own equipment. unless specified in the booking application, in which case, additional charges may be levied and deposits held, to cover the cost of this equipment.  Appropriate qualifications may be required to be shown if equipment is deemed of a particularly dangerous or contentious nature before equipment is released for hire. 
  1. In the interest of safety and hygiene smoking is not permitted in the facilities. 
  1. The hirer shall strictly comply with the provisions of the Health & Safety at Work Etc. Act 1974 and all regulations made there under from time to time in force.  The hirer will also comply with any local bylaws in force. 
  1. The hirer agrees that the maximum accommodations of the hired premises shall not be exceeded.  This will be detailed where necessary on specific booking conditions. 
  1. The hirer agrees to follow all procedures set out in the Normal Operating Procedure and Emergency Action Plan.  
  1. The hirer shall not disconnect or in any way interfere with electrical or other fittings provided.  Any electrical or other equipment brought on to the premises must be maintained in a safe condition.  The hirer is wholly responsible for the safety of any equipment brought on to the premises and is responsible for any injury or claim arising from the use of this equipment.  Items of a combustible nature that are brought on to the premises, i.e. fabrics and props, must either be inherently fire proofed or treated to inhibit the spread of fire.  In all cases, Vision RC & L must give consent before any equipment is brought on to the premises. Vision RC & L is empowered to prevent the use of equipment, which they consider unsuitable, objectionable or dangerous.  Consent if given, does not imply safety or suitability of the equipment of any acceptance by Vision RC & L of liability for damage or injury arising out of the use of the equipment. 
  1. Any property brought on to the premises will be at the responsibility of the hirer; this includes any losses by guests/or others entering the hired premises. 
  1. The hirer undertakes not to allow any persons at the event to use words inciting hatred of any racial group. 

  1. The hirer agrees that the hired premises shall not be used for any public performance in which copyright subsists, without the written consent of the copyright owner. The hirer will indemnify Vision RC & L against all costs and expenses that Vision RC & L may incur by the hirers infringement of any copyright.  The hirer also agrees to provide to Vision RC & L immediately after the period of hire, a list of all music performed together with the names of the author, composer, arranger and publisher of each composition.  

Vision RC & L requires all clubs to undertake public liability insurance.
