Booking and Payments
How do I book a pitch?
Bookings must be made online by scanning the QR code or using the booking service link.
Can I book at short notice?
Yes, if a pitch is available. Bookings made less than two weeks before the match date may incur an administration fee.
How do I pay?
All payments must be made online through the booking service. No cash or offline payments are accepted.
Fixtures and Availability
When will fixtures be displayed?
Upcoming bookings are displayed on the Hainault Recreation Ground notice board next to the pavilion, updated every 1–2 weeks.
Are pitches available all year round?
No. Pitches are closed during the Christmas and New Year period.
Cancellations and Refunds
What if Vision cancels my match?
Vision reserves the right to cancel matches at any time due to unforeseen circumstances, including severe weather, natural phenomena, or
instructions from the Local Authority. No refunds will be issued in these circumstances.
Do I get a refund if my match is rained off?
No. Refunds are not offered if a match is cancelled due to adverse weather or other circumstances.
Can I cancel or amend my booking?
Yes, but cancellations and amendments may be subject to a non-refundable administration fee.
Matchday Rules
Who decides if a pitch is playable?
The referee/umpire may declare a pitch unfit. Vision may also cancel matches if conditions are unsafe.
What does my hire include?
One pitch for one scheduled match per week (or every two weeks if booked as fortnightly hire). Where appropriate, a staff member is included on site.
What equipment is provided?
Goalposts are provided. Clubs must supply their own footballs, nets, and corner flags.
Do I need insurance?
Yes. All clubs must provide valid Public Liability Insurance cover of at least £10 million before play begins.
Conduct and Responsibilities
Can we train on the pitch?
No. Grounds may only be used for official fixtures booked through the service.
Can I sub-let my booking or charge admission?
No. Bookings cannot be transferred or sub-let under any circumstances, and admission charges are not permitted.
What are my responsibilities for facilities?
Changing rooms, showers, and pitches must be left tidy and free of rubbish. Litter bags are available from the site attendant. Clubs are
responsible for any damage and repair costs. Boots must be cleaned outside the pavilion.
Who maintains the pitches?
All pitch maintenance is carried out by Vision and its contractors. Clubs may not carry out maintenance without written permission.
Who can access the site during hire?
Council and Vision officers have the right of entry at any time. Only club members and the opposing team may use the facilities during hire.
Parking and Site Access
What are the rules on parking?
Please park considerately. Do not park on grass or verges. Some parks are pay-and-display – please check signs and pay where required.
What happens if I leave my car after closing?
Vehicles left on site more than 40 minutes after closing time will remain on site until gates are reopened the following morning. Vision is not
responsible for your private possessions.
Can I bring BBQs, gazebos, or similar equipment?
Not without prior written permission. Gas burners, BBQs, gazebos, and marquees are otherwise not permitted.

What should I do in an emergency?
Dial 999 or 101 and request the relevant emergency service.

Administration Charges
Can an administration fee be applied?
Yes. An administration charge starting from £25 may be applied where a booking request creates additional work outside the standard
process (e.g. late bookings made within two weeks, amendments to confirmed bookings, or special access/out-of-hours requests). This fair use charge ensures that the cost of extra administration is borne by the user who creates it, rather than by the service budget or other compliant clubs.
